TAREC CAR RENTAL UGANDA – TERMS AND CONDITIONS

Welcome to Tarec Car Rental Uganda. These Terms and Conditions govern the rental agreement between Tarec Car Rental Uganda (“the Company”, “We”, “Us”) and the Hirer (“the Client”, “You”). By signing the rental agreement or confirming a booking, you agree to comply with and be bound by the terms detailed below.

1. Driver Qualifications and Age Requirements

• Minimum Age: The driver must be at least 21 years of age and not older than 75 years of age.

• Driver’s License: The driver must possess a valid domestic driving license held for at least two (2) years.

• International Driving Permit (IDP): If the domestic license is not written in English, an International Driving Permit is highly recommended alongside the original national license.

• Authorized Drivers: Only drivers explicitly listed in the rental agreement are authorized to operate the vehicle. Allowing an unauthorized person to drive invalidates all insurance coverage.

2. Vehicle Use and Restrictions

• Mechanical Care: The Client is responsible for checking engine oil, coolant levels, and tire pressure daily during the rental period.

• Prohibited Use: The vehicle must not be used for transporting illegal goods, racing, commercial towing, or carrying passengers for hire.

• Safari & Track Rules: Driving inside National Parks must be restricted to designated game tracks. Off-track driving is strictly prohibited by law and damages the vehicle’s underside; any fines or under-carriage damage resulting from off-track driving will be fully borne by the Client.

• Night Driving: For your safety and due to poor visibility and livestock hazards, night driving (between 7:00 PM and 6:00 AM) outside major urban centers is strictly forbidden. Damages incurred during unauthorized night driving are not covered by insurance.

3. Cross-Border Travel

• Vehicles are primary rented for use within Uganda.

• Cross-border travel into neighboring East African countries (Kenya, Rwanda, Tanzania) is permitted only with prior written authorization from Tarec Car Rental Uganda.

• The Client will be responsible for costs associated with cross-border documentation, including the COMESA Yellow Card insurance and border customs clearance fees.

4. Rates, Fuel, and Mileage

• Unlimited Mileage: All rental rates include unlimited mileage within Uganda.

• Fuel Policy: Vehicles are rented on a same-to-same basis. The vehicle will be delivered with a certain level of fuel (usually full) and must be returned with the equivalent amount. No refunds are given for excess fuel.

• Rental Extensions: If you wish to extend your rental period, you must notify us at least 48 hours prior to the scheduled return time via info@tareccarrentaluganda.com or +1 (602) 727-3006. Extensions are subject to vehicle availability.

5. Insurance Cover and Excess/Deductible

• Comprehensive Insurance: All our vehicles are covered by Comprehensive Insurance against third-party damage, fire, and theft.

• Excess/Deductible: In the event of an accident where the Client is at fault, the Client is liable for a standard insurance excess fee (the amount will be specified in your specific vehicle rental contract).

• Exclusions from Insurance: Insurance does not cover damages resulting from:

  • Driving under the influence of alcohol or drugs.

  • Gross negligence or reckless driving (e.g., speeding).

  • Single-vehicle rollovers caused by speeding.

  • Damage to tires, rims, and glass/windshields (unless caused by a multi-vehicle collision).

  • Unauthorized night driving or unauthorized cross-border travel.

6. Mechanical Breakdowns and Roadside Assistance

• In the event of a mechanical breakdown, the Client must notify the Company immediately at +1 (602) 727-3006.

• The Company provides 24/7 roadside assistance. If the vehicle cannot be repaired within a reasonable timeframe (usually 24 hours depending on the remote nature of the location), a replacement vehicle of equal standard will be dispatched.

• The Client must not authorize any major repairs or parts replacements without explicit written consent from the Company.

7. Accidents and Reporting Procedures

In the event of an accident, the Client must:

1. Secure the vehicle and ensure the safety of all passengers.

2. Call Tarec Car Rental Uganda immediately at +1 (602) 727-3006.

3. Obtain a Police Report from the nearest local police station. An official police report is mandatory for all insurance claims.

4. Take photographs of the scene, vehicle damages, and the third-party vehicle/identification if applicable.

8. Payment, Deposits, and Cancellations

• Payment Methods: We accept secure online credit/debit card payments, bank transfers, and cash payments (USD, EUR, or UGX) upon delivery.

• Booking Deposit: A booking deposit is required to lock in your reservation.

• Cancellation Policy:

  • Cancellations made 14 days or more prior to the rental start date: Full refund of the deposit.

  • Cancellations made less than 14 days prior to the rental start date: The deposit is non-refundable but may be converted into credit for a future rental booking valid for 12 months.

9. Vehicle Return

• The vehicle must be returned to the agreed location, date, and time specified in the rental agreement.

• Vehicles returned in an excessively dirty state (requiring deep upholstery cleaning or detailing due to interior stains) will attract an additional cleaning fee.

• Late returns without prior communication will attract a late fee equivalent to a full day’s rental rate.
